Terms and Conditions
Reservation, payment and cancellation terms. Governed by the laws of Uganda.
Reservation procedure
All reservation bookings are confirmed by email at info@nilesafarilodge.com. To receive a reservation summary, please share:
- A valid ID or passport copy for each guest
- Check-in and check-out dates
- Any additional activities or transport
Nile Safari Lodge does not accept reservations made through online booking platforms.
Rates
All room rates and fees are in United States Dollars (USD).
Rates, inclusions and room occupancies are as stated in your confirmation. Rates may change at any time without notice.
Arrival and departure
Check-in
Check-in is from 13:00 (1.00 pm). Earlier access depends on availability on the day of arrival.
Check-out
Check-out is by 10:00 (10.00 am). For a later check-out, a fee of 50% of the room rate applies until 18:00 (6.00 pm). A full night's rate applies after that time.
Deposits and payment
Low season: 1 March – 31 May and 1 October – 14 December (2026, 2027, 2028)
- A 30% non-refundable deposit of the total room charges confirms the booking. It must be paid within 14 days of making the reservation.
- Full and final payment is due no later than 30 days before arrival.
High season: 15 December – 29 February and 1 June – 30 September (2026, 2027, 2028)
- A 50% non-refundable deposit of the total room charges is required at the time of booking.
- Full and final payment is due no later than 30 days before arrival.
Payment guarantee
A valid credit card guarantee is required at the time of booking. A reservation is confirmed once all deposits and payments have been processed according to these terms. Nile Safari Lodge may release bookings without prior notice if full payment is not received on time.
Confirmation also requires all guest names, particularly for bookings of more than one room.
Payment is accepted by bank transfer or credit card; transfer charges may apply. All guests must present a passport or ID.
Electronic payments made through the payment link carry a surcharge of 3.7% of the total amount, added to the final invoice.
Please make payments only to the lodge's official bank account, NOVAM LTD (USD), at ABSA Bank Uganda Limited, Kampala (SWIFT: BARCUGKX). The account number is shown on your invoice; contact us for details if making an international transfer.
Use the name of the guest or party, or the invoice number, as the reference for every transfer. All payments must be received in full, net of any charges.
Children and additional guests
- Children under 5 stay free when sharing a room with full-paying adults (maximum two children).
- Children aged 5–15 sharing a room with full-paying adults are accommodated at reduced rates.
- Children in their own room, and guests aged 16 and above, pay the full adult rate.
Cancellation policy
If you are unable to travel, or to use the accommodation and services confirmed, cancellation fees may apply.
A change to the length or dates of your stay depends on availability and may change the rate. A revision to a booking may also count as a cancellation. If a stay is shortened, the cancellation policy applies to the cancelled nights. If a deposit is refunded, credit card surcharges cannot be refunded.
Cancellation, early departure and no-show fees are the responsibility of the tour agent or client.
Early departures and no-shows
A fee of 100% per night applies to early departures. For a no-show (a reservation neither used nor cancelled), a fee equal to the value of the entire stay applies. Early departures or cancellations due to bad weather are fully chargeable.
Other information
Minimum age
At least one guest aged 18 or over, holding a valid credit card in their name that guarantees payment for the party, must be present at check-in.
Smoking
All indoor areas, public areas and restaurants are strictly non-smoking.
Drinks
Guests may not bring their own drinks to the lodge.
Charges and taxes
Service charges, fees and taxes may change without prior notice, and Nile Safari Lodge may introduce new ones in accordance with the law. The tax rates in force at the time of your stay apply.
Force majeure and travel restrictions
Where events beyond reasonable control prevent travel or prevent the lodge from honouring a confirmed booking (including epidemics, pandemics, government travel restrictions, border closures or natural disasters), the standard cancellation terms will not be strictly applied. Deposits and pre-payments will instead be held as an open credit, valid for 12 months from the original arrival date, and the booking may be rescheduled subject to availability and seasonal rate differences.
Nile Safari Lodge is not responsible for third-party costs such as park fees, flights and transfers in such events. We encourage guests to hold comprehensive travel insurance.
Governing law
These terms are governed by the laws of Uganda.
